How to switch booking systems without losing clients
A step-by-step plan for moving your services, client list and upcoming appointments to a new booking system, with no gap your clients notice.

In this post
Plenty of businesses stay on a booking system they don't like because switching feels risky. What if a regular can't find you? What about the appointments already on the books? Here's how to make the move in a week or two, with no gap your clients notice.
1. Write down what you have today
Before you touch anything, take stock of your current setup:
- Every service, with its price and how long it takes
- Your weekly hours, breaks and days off
- Who on your team takes bookings, if it isn't just you
- Upcoming appointments that are already booked
- Every place your booking link lives: Instagram bio, Google profile, website, business cards
That last list matters most. It's every place you'll update later.
2. Export your client list
Most booking systems let you export clients as a CSV or Excel file, usually from a clients or reports section. If you can't find it, ask their support for an export. Your client list belongs to your business.
Tip: Export before you cancel. Some systems limit what you can access once a subscription ends.
3. Set up your new page first
Build your Ongati page while your old system is still running. Add your services, prices and hours. Use the service names your clients already know, so a "Skin fade" is still a "Skin fade."
On Solo and Growth, you can import your client list from CSV or Excel, up to 5,000 clients at a time. Importing a client doesn't sign them up for marketing texts. Their consent still comes first.
4. Run both side by side
You don't have to switch overnight. Keep honoring appointments already booked in your old system, and block those times on your new calendar so nobody double-books you. Send every new booking to Ongati.
Once the last old appointment is done, you're fully moved.
5. Tell clients once, everywhere
Go back to the list from step 1 and update every spot:
- Your Instagram, TikTok and Facebook bio links
- The booking link on your Google Business Profile
- The Book button on your website
- Your QR on your mirror, station, door and cards
Then tell your regulars yourself, one at a time, when they're in your chair or when you confirm their next visit. A quick personal message lands better than a blast to your whole list.
6. Close the old account
When the last old appointment is done and every link points to your new page, cancel the old subscription. Check its renewal date first so you don't pay for a month you won't use.
